    Building Your Knowledge Base

    Your knowledge base is what Bob knows about your business. The more you put in, the better Bob answers your customers — about your products, prices, policies, and more.

    How it works

    You add content (website, documents, Q&As) → Bob's AI extracts and structures the information → Bob uses it to answer customer questions accurately, 24/7.

    Go to Your Knowledge Base

    From your Agent Dashboard:

    1. Open your agent's dashboard
    2. Click My Knowledge in the sidebar
    3. You'll see your data sources and Q&A pairs here

    Add Your Content

    You can add content in three ways:

    Website URLRecommended

    Paste your website URL and BobWork will automatically crawl your pages — products, services, FAQs, pricing, everything. Most sites crawl in 1–3 minutes.

    Upload Documents

    Upload PDF, Word (.docx), or TXT files — brochures, price lists, SOPs, product manuals. Processed instantly.

    Manual Q&A

    Add individual Q&A pairs manually — useful for specific questions you know customers ask, or edge cases your website doesn't cover.

    Generate Your Knowledge Base

    After adding your sources, click Generate Knowledge Base. Bob uses AI to extract and structure all the information into Q&A pairs it can use when answering customers.

    Generation takes 1–5 minutes depending on how much content you have. Don't close the page while it's running.

    Review Your Q&A Pairs

    After generation, Bob shows all extracted Q&A pairs. Review them and verify the ones that look correct — this helps Bob prioritise accurate answers.

    Keep It Updated

    Whenever your products, prices, or services change — regenerate your knowledge base so Bob has the latest info.

    1. Go to My Knowledge → click Re-generate
    2. Bob re-crawls your website and re-processes all documents
    3. For quick edits, update individual Q&A pairs directly without re-generating

    Tips for a Better Knowledge Base

    More pages = smarter Bob

    The more content you crawl, the better Bob understands your business. Include your product pages, FAQ page, pricing page, and about page.

    Be specific in manual Q&As

    If customers frequently ask something your website doesn't cover (e.g. delivery areas, return policy details), add it as a manual Q&A pair.

    Regenerate after big changes

    Launched a new product? Changed your prices? Always regenerate after major updates so Bob doesn't give customers outdated info.

    Upload price lists as docs

    If your pricing is complex or not on your website, upload a PDF or Word doc. Bob will extract all pricing details from it.

    Common Questions

    How long does crawling take?

    Most websites complete in 1–3 minutes. Large sites with hundreds of pages may take up to 5 minutes. You'll see a progress indicator while it's running.

    What file formats can I upload?

    PDF, Word (.docx), and plain text (.txt) files are supported. Make sure the content is readable text — scanned image PDFs without OCR may not extract correctly.

    Can I edit a Q&A pair Bob generated?

    Yes. Click any Q&A pair to edit the question or answer directly. Changes are saved immediately and Bob will use the updated version.

    What if Bob gives a wrong answer to a customer?

    Find the relevant Q&A pair in My Knowledge, edit the answer to the correct one, and verify it. You can also add a new manual Q&A pair to override incorrect responses.

    Does Bob use the knowledge base for all channels?

    Yes — the same knowledge base is used across WhatsApp, Instagram, Messenger, and your web widget. Update once, it applies everywhere.
